“Instead of two hours of typing up notes and trying to remember what was said in the interview, they can now focus on the interview and not take notes,” Miller said. “What took two hours now takes 10 minutes.”

Musgrove said ATB’s in-house solution leverages OpenAI’s GPT models (via their API) within a custom PowerApps-based interface. High-quality results are ensured through a combination of the following: 

  • Human-in-the-Loop Validation: Interviewers and reviewers verify the AI’s scores and explanations.
  • Consistent Prompts: The AI follows a locked, structured prompt that anchors its evaluations to our specific guidelines.
  • Alignment with Company Values: We preload our company and role-specific guidelines into the context, so the AI evaluates against what we value in a candidate.

Musgrove said it’s important to be cautious of over-trusting AI’s results. 

“AI is fallible. Always keep a human involved,” he said. “We like to start a process with a human, have AI used in the middle, and finish the process with a human.”

For others interested in incorporating AI into their hiring process, Musgrove said the following best practices will help ensure quality results:

  • Establish Clear, Well-Defined Guidelines – Developing well thought-out guidelines will improve reliability and consistency with your results, while vague or overly broad scoring guidelines will have the opposite effect. The AI will mirror that ambiguity in its output.
  • Use AI to Support (Not Replace) Human Decision-Making – The best results come when AI is used as a first pass or scoring assistant, not the final judge.
  • Embed AI into Your Existing Systems – Incorporating AI into systems like PowerApps, SharePoint, or Teams can help make adoption smoother and more cost-effective.
  • Train Your Users – Training ensures your team understands how to interpret and challenge AI outputs when needed.
